Refund Policy, Terms and Conditions and Personal Creed 

 

Refunds/Cancellation Policy 

PLEASE NOTE: Your Witch Camp Ticket is non-refundable. Because of the intimate nature of our camp and the amount of time, energy, and non-refundable deposits with vendors/teachers and hotels that it takes to organize and build it, we can no longer offer refunds. Please be certain about your purchase before you book. 

We unfortunately cannot offer refunds or credit for future Witch Camps.  At this point, you will have two options.

Option 1: Cancellation with Substitution. Please email Kristi at [email protected] and let her know who you will be transferring your ticket to.

Option 2: Waitlist Option of Transfer. Please email Kristi at [email protected] and let her know that you cannot attend and to engage the Waitlist Option of Transfer. Kristi will then contact all the members of the Witch Camp Waitlist. If she finds a willing replacement, we will refund your money once they have paid for the ticket in full. We cannot guarantee that someone on the waitlist will take your ticket, but Kristi will do her best to find a replacement for you.

As of January 2025, Veronica will not be able to respond to personal emails/texts regarding refunds and replacements, as she is responsible for building the magick and experience for the entire retreat. In the past, these replacements/refund requests have taken a considerable amount of time away from Veronica’s planning of the retreat, which is why we have chosen to hire someone to help you directly! Kristi is happy to help organize the possibility of a Waitlist Option of Transfer or to send all camp details and information to the person you have chosen to transfer your ticket to!

We get it. Things come up, family emergencies, illness, injuries and change happens and sometimes travel needs to be rescheduled or canceled all together. While we completely respect your decision to withdraw from your retreat, we hope you’ll understand that we operate as a business and need to enforce our policies. 

By registering for your retreat you are agreeing to make payment and attend your specific retreat.

You have the option of protecting your trip by getting Trip Insurance in case of unexpected occurrences. To make this easy for you, here is the Forbes List of the Top Trip Insurance Companies of 2025. 

Before clicking submit to join a retreat, please make sure to confirm that you, 

  •  Have verified the dates of travel
  •  Have considered the travel expenses and retreat costs and can afford both (You are responsible for travel, additional excursions, additional meals, shopping, and any other expenses not included on your retreat’s contents page.)
  •  Have your VALID passport if traveling from outside your country. Please make sure that your passport does not expire within 6 months of travel! 

There is a ton of planning that happens behind the scenes to make these retreats happen and flow so beautifully. Even if you cannot attend your retreat, we have worked 110% to make sure your spot and vacation has been thoroughly planned and reserved. This includes our own non-refundable deposits being made to accommodations, excursions, instructors, supplies and food.

With this in mind, we hope you’ll understand our reasoning behind the above mentioned policies. You also understand that by signing up for your retreat that you have thoroughly read, understood, and agreed to these policies. 

Please note that there will be no refunds or discounts for arriving late, leaving early, flight cancellations, travel delays or illness. If you cancel your participation in a retreat for any reason, the cancellation policy described here will apply, with no exceptions.  If unforeseen circumstances occur (ex. injury, illness, work issues, family emergency etc.), it is your responsibility to find someone to take your spot and we can transfer your purchased ticket to them.

 

If for some unexpected reason, The Varlow Academy of Magick / Love Witch LLC) cancels the retreat, we'll refund you in full for all payment including deposits, but cannot compensate you for airfare or travel costs incurred. We do recommend purchasing Travel Insurance.

Our Creed 

The Witch Camp/Varlow Academy of Magick/Love Witch LLC welcomes all levels of experience from brand-new beginners to advanced practitioners. We believe that everyone has their own unique magick to share and also to learn. This retreat is open to all female, gay men, queer, trans, non-binary and two spirit identified people. We foster a climate of purposeful inclusion, an environment where all can feel safe, valued, cared for and given an opportunity to form meaningful connections with each other. We cherish the diversity of humanity, a diversity which includes differences in age, race, ethnicity, natural origin, range of abilities, sexual orientation and gender identity. When we learn and share our unique experiences in a thriving, safe community, that’s where the real magick happens.

 

Kindness Policy 

We believe that the greatest magick spell is kindness because it can turn a stranger into a friend. Therefore, we will not tolerate aggressive, mean, or abusive behavior in any shape or form in our space. We reserve the right to refuse admission or eject someone from the premises if it is decided that a person is extremely disruptive, exhibiting bad behavior or putting others at risk.

 

Behavior Policy 

Love Witch LLC reserves all rights to refuse registration of a potential participant if that participant exhibits behavior that would put others at our retreat at risk or if a potential participant displays behavior that is mean-spirited, abusive, disrespectful or damaging to others. It is our utmost priority to keep our space safe so that participants feel comfortable to share, thrive, learn and grow.

 

Payments 

After submitting your registration information and your payment,  you will receive confirmation of your reservation via email from Love Witch LLC. For those using a payment plan, if we do not receive your payment or correspondence from you for more than 45 days, we have the right to remove you from the retreat without refund or credit.

 

Changes 

Love Witch LLC reserves the right to make changes to the published schedule if one or more of the advertised instructors are unable to attend. In the event of said change because of an instructor’s illness or emergency, we will substitute that instructor with a new class from either Veronica herself or another equally qualified instructor. You have no claim against Love Witch LLC in respect of such changes, and are not entitled to a cancellation or refund.

 

Liability 

Love Witch LLC is not responsible and shall have no liability for loss or damage to any of your personal property except where this is due to the negligence of Love Witch LLC. Love Witch LLC will not be liable for any indirect or consequential loss suffered by you; or any loss of property personable (direct or indirect) suffered by you.
